Member Guide: Booking Classes

Booking classes at your club is quick and simple with ClubPilot. Here’s everything you need to know about browsing, booking, and managing your class bookings.

Browsing Available Classes

  1. Click on “Classes & Events” in the main navigation menu
  2. You’ll see a list of all upcoming classes and events
  3. Use the filters to narrow down your search:
    • Filter by Class Type: Select specific types like “Tennis Lessons” or “Yoga”

Booking a Class

  1. Browse the available classes and click on one that interests you
  2. You’ll see the full class details including:
    • Date and time
    • Duration
    • Description
    • Available spots remaining
    • Location
  3. Click the “Book This Class” button
  4. Review your booking details (your name and contact info are automatically filled in from your profile. If you are booking on behalf of someone else, you can change these.)
  5. Click “Confirm Booking”
  6. You’ll receive a confirmation email with all the class details

Note: You must have a phone number in your profile to book classes. If you need to add one, visit your profile settings.

Viewing Your Bookings

  1. Click on “My Bookings” in the Classes menu
  2. See all your upcoming class bookings
  3. Each booking shows:
    • Class name
    • Date and time
    • Status
    • Option to cancel

Cancelling a Booking

If you can no longer attend a class:

  1. Go to “My Bookings”
  2. Find the class you want to cancel
  3. Click the “Cancel Booking” button
  4. Confirm the cancellation
  5. You’ll receive a cancellation confirmation email
  6. The spot becomes available for other members

Important: You can only cancel bookings for classes that haven’t started yet.

Understanding Class Status

  • Available: The class has open spots and you can book
  • Full: All spots are taken (you cannot book)
  • Closed: The class is not accepting bookings
  • Cancelled: The class has been cancelled by an administrator

Email Notifications

You’ll automatically receive emails for:

  • Booking confirmation when you book a class
  • Cancellation confirmation when you cancel your booking
  • Class cancellation notice if an administrator cancels a class you’re booked into

Common Tasks

  • Browse Classes: Classes & Events → View upcoming classes
  • Book a Class: Click class → Book This Class
  • View Bookings: My Bookings
  • Cancel Booking: My Bookings → Cancel Booking

Tips

  • Book early for popular classes that fill up quickly
  • Add your phone number to your profile to enable class bookings
  • Check your email for booking confirmations
  • Cancel as soon as you know you can’t attend to free up the spot for others
