Frequently Asked Questions
What are recurring Club Events?
Recurring Club Events are admin-only features that allow club administrators to create repeating events. Regular members create single Private bookings only.
What are the different recurrence patterns for Club Events?
- None: Single booking (no recurrence)
- Weekly: Repeats on the same day of the week
- Weekdays: Repeats Monday through Friday only
- Daily: Repeats every day
How long can recurring Club Events run?
Recurring Club Events are limited to 1 year from the start date for optimal system performance.
Can I edit recurring Club Events?
No, recurring Club Events cannot be edited. You can only cancel them. If you need to modify details:
- Cancel the existing Club Event (single occurrence, future occurrences, or entire series)
- Create a new Club Event with the correct details
What happens when I cancel part of a recurring Club Event?
Club Admins have three cancellation options:
- Cancel single occurrence: Only that specific date is cancelled
- Cancel future occurrences: All dates from your selected date forward are cancelled
- Cancel entire series: All dates in the recurring Club Event are cancelled
Cancelling individual occurrences doesn’t affect the parent Club Event status - the series remains active.
Can I cancel past occurrences?
No, past occurrences cannot be cancelled or modified. You can only cancel current and future occurrences.
How do recurring Club Events appear on the calendar?
Each occurrence appears as a separate Club Event entry on the calendar:
- Members can view Club Events but cannot modify them
- Club Admins can click on specific occurrences to cancel just that date
- Each occurrence shows individual status (active/cancelled)
- Cancelled occurrences display as cancelled without affecting other dates
Troubleshooting Common Issues
“Cannot edit this occurrence” Error
Cause: Club Events cannot be edited - only cancelled. Solution: Cancel the Club Event and create a new one with the correct details.
“Club Event series not found” Error
Cause: The parent recurring Club Event may have been deleted or corrupted. Solution: Contact support to investigate the Club Event series status.
Recurring Club Event stops before expected end date
Cause: The system limits recurring Club Events to 1 year from the start date. Solution: Create a new recurring Club Event starting from where the previous one ended.
Cannot create recurring bookings as a member
Cause: Recurring bookings are only available to Club Admins for Club Events. Solution: Members can only create single Private bookings. Contact your club admin if you need a recurring Club Event created.
Calendar showing cancelled Club Event occurrences
Cause: Individual occurrences can be cancelled while keeping the series active. Solution: This is normal behaviour. Cancelled occurrences will show as cancelled but the Club Event series continues for other dates.
Best Practices
For Members
- Understand the difference: Private bookings (your bookings) vs Club Events (admin-created events)
- View only: You can view Club Events on the calendar but cannot modify them
- Contact admin: If you need a recurring club activity, ask your club admin to create a Club Event
For Admins
- Choose the right type: Use Club Events for recurring club activities, Private bookings for individual member bookings
- Plan for cancellation: Since Club Events cannot be edited, plan carefully before creating recurring series
- Monitor occurrence limits: Recurring Club Events generate individual records for each date
- Member education: Help members understand they can view but not modify Club Events
