A quick guide to setting up your club on ClubPilot.


The setup wizard

After creating your account, ClubPilot walks you through a step-by-step wizard to get your club ready. You’ll be asked to:

  1. Tell us about your club — Club type, size, and what you’ll use ClubPilot for.
  2. Choose your features — Enable the features you need: membership management, space bookings, classes and events, or all three.
  3. Add club details — Name, description, contact email, and website.
  4. Set your fiscal year — Your club’s accounting period for membership renewals.
  5. Upload your logo — Brand your club’s ClubPilot portal.
  6. Configure your features — Depending on what you enabled:
    • Membership types — Create your membership tiers and pricing.
    • Spaces — Add your courts, pitches, rooms, or other bookable facilities.
    • Class types — Define categories for your classes and events.
  7. Payment instructions — Set up how members pay and what terms to display.

The wizard adapts to your choices — you’ll only see steps relevant to the features you’ve enabled.


After setup

Once the wizard is complete, your dashboard shows a checklist of remaining items to review before going live:

  • Required items — Anything essential that still needs completing (e.g. adding spaces if you’ve enabled space bookings).
  • Recommended items — Optional polish like reviewing email templates or fine-tuning booking preferences.

Key settings to review

Once your club is live, you can adjust everything under Settings:

Setting What it controls
Your Club Club name, description, logo, and contact details
Features Enable or disable features as your needs change
Membership Types Tiers, pricing, and renewal settings
Payment Settings Payment methods and Stripe integration
Email Templates Customise the emails ClubPilot sends on your behalf
Club Admins Grant admin access to other members

Inviting members

Once your club is set up, members can:

  • Sign up themselves — Share your ClubPilot link and members create their own accounts.
  • Be imported in bulk — Use the member import tool under Settings to upload an existing member list.
